Jo knew that events could be advertised in the Trade Magazines linked to her company's line of business but, as a newcomer to event organization, with a non-existent advertising budget and with no marketing expert at her elbow; where should she begin?
Some of the best advertising you can get is editorial written about your event or your company. Print media like trade journals, magazines and newspapers are often looking to fill their pages and you may have noticed that articles about companies and their activities are often surrounded by advertising for related businesses. Most print media is paid for by the advertising, so this type of article has benefits both ways. If the topic of your workshop or roadshow is a controversial, exciting or popular subject, it is more likely that an article about it will be printed however you have little control over the timing. Like the majority of sales people, I visit a huge number of clients and prospects every month, some end up buying some do not, but every single one of them has my business card. I attend business breakfasts, seminars and other networking event in my search for new contacts and ultimately new business, each person I meet also gets a business card.
One day a few years ago I realised that I not only hand out a huge number of cards, but I also receive a fair few myself. I decided to go back through some of the older ones to see if I could find some new prospects. As I started to sift through them I began to realise that most peoples cards are actually meaningless in isolation. Unless you work for one of the few companies who’s name actually reflects what you do, you may as well be writing your telephone number on a piece of paper and forgetting to add your name.

My prospects are also everyone else’s prospects, they do not need to remember me, and so they need a little help.

He remembers speaking to a few suppliers at the seminar but can’t remember exactly who, so he quickly flips through the cards collected, then, he comes across one, he can’t remember the name or the face to match it, but, in nice clear writing it says “Widgets, budget to high end” Who gets invited in for a meeting?
I'm one of those people who guard my business cards at meetings. I don't like meaningless cardboard connections (exchanging business cards without a purpose). I'm put off by someone who says, "Hello, my name is.... Here is my business card, can I have yours?" My suspicion is that I'm going to be put on someone's junk mail list. However, by first striking a chord, you've accomplished something very important in your networking mission -- you've found a reason to extend the relationship beyond the event at which you met.
Not all prospects you meet are going to fit your ideal client (or center of influence) profile. This is especially true for me, since I have a highly specialized niche. Focus your attention on those who meet your criteria. Jot down notes on the back of the card (the reason for the solid connection), and then you'll have a conversation point in which to build your relationship at the next meeting or in your correspondence. Follow up quickly after the meeting by sending information you promised.

Anything other than the prospects should not be included in the headline. If both men and women can use a product, both of them should be referred to in the title, missing out even one of the category is like losing a huge number of potential customers.

How to Create Your Own Small Business Press Kit
In last week’s article, we talked about why your small business needs a press kit. Because they’re not just for the press, I prefer to call them small business information package. To recap, you need a small business information package to augment your business card, which has only limited information about you and your company.
Your small business information package is the printed materials to give or send to prospective clients to tell them who you are, where you are, how to contact you, what you do, how to buy, and why to buy from you instead of your competition.
This week, we’re going to discuss what you should put inside your information package. For all intents and purposes, anything that promotes your company can go inside it. Some of the more common things include:
• Business card
• Small business brochure
• Letter of introduction
• Product or service review
• Price list
• Press releases
• White papers
• Recent articles written by you or about your company
• Biography of key officers
• Flyers, coupons or direct mail pieces
• Information pamphlets
So, let’s talk a bit about each. And let’s start with the big one—your small business brochure. Your small business brochure can stand alone. If you decide not to have a complete small business information package, at the very least, create a tri-fold brochure so you have detailed printed information to give clients.
If your prospective client reads only one thing in your whole information package, it will most likely be your brochure. Why? Because it captures the reader’s attention better than any other item in your information package. Most of your other items will be letters, articles or reviews. They’ll look good, and they’ll all match because they’re on your letterhead, but they won’t jump out at your readers like your full color tri-fold brochure will.
So, you want to make sure it’s the first thing people see when they open the front cover of your information package. If you can capture their interest with your brochure, they’re more likely to read the rest.
The first page of your small business brochure should have your business name and logo, and possibly a photo or some graphics. Make it colorful. Make it interesting. Add a slogan or motto on the front that will make people curious as to what’s inside. You don’t want them to just look at the front cover and put it aside!
Inside, try to introduce yourself and review your product or service briefly. If you can, keep the introduction and review to the length of the first inside page or so. Adding a few graphics or photos throughout the whole brochure, together with informative text helps keep your readers’ interest. And, make good use of your headings, remembering that most readers will scan from left to right, stopping at graphics and headings, and sometimes reading the last paragraph.
Now, this part is important, and is possibly the biggest mistake most small businesses make with their brochure—at least some of the other two inside pages could be better used to show prospective buyers how your product or service can benefit them, rather than to describe your product or service features.
I cannot stress this enough. Too many times small business brochures are used simply to talk about you, your company or your product/service. Most of your readers simply won’t care who you are, what you do or how you do it. What they really care about is how you can benefit them. How you can save them time or resources. How you can make their lives just a little bit easier.
Often, the last outside page of your brochure summarizes the inside pages, or lists products or services in point form. You could even add a price list, if you have one.
The next several items in your small business information package are all written on your letterhead, and the sky’s the limit as to what you can use.
You could put the letter of introduction just behind your brochure, or you could include it outside the information package cover if you’re mailing it. Usually this is just a short, one-page letter introducing yourself and your company, and thanking the recipient for taking the time to look at your information package.
Your product or service review could be long or short, depending on what you’re offering. This is not the place to stress benefits, but simply to list and describe your services or products. You can combine a product or service review with your price list very effectively.
Include any press releases about your company, and articles written by you or about your company. If you don’t have any, don’t worry. You can write some specifically for your information kit. Include announcements of your grand opening, for example, or a new line of products, or your new location. Or write an article about one of your products or services.
White papers are becoming increasingly popular. Are you an expert in a particular area? If you are, you might want to write a white paper to include with your information package. A white paper discusses specific business issues, products, technology or other such topics. It usually summarizes information about the topic, and then suggests a proposal for action, referencing research data to justify the reasons for the action. It explains your topic in terms most people can understand, with the goal of educating consumers and marketing your product or service. White papers help establish the writer as an authority.
The biography of your key officers is basically a resume. Include short one-page biographies of key officers to highlight areas of expertise and level of experience in your industry.
Fliers, coupons and direct mail pieces can also be included in your small business information package. Fliers and coupons emphasize current specials or discounts. Here’s a few tips. When you’re thinking about specials or discounts, try to create a sense of urgency with them by making them time- or quantity-limited. And, consider the 10/10 rule, which theorizes that people are most likely to buy when they see discounts of 10% or $10. Or, better yet, offer something extra free.
Recent direct mail sales letters can also be included. There’s simply too much to say about them to really give justice in this short article, but some things to remember are: to stress benefits, create a sense of urgency, the 10/10 rule and a bolded P.S. including a call to action.
Keep direct mail sales letter simple and relevant. Be enthusiastic, know your product, use your imagination and understand your target audience. Establish trust and credibility. Include testimonials. Give free nuggets of information. And, just like in your brochure, write your direct mail sales letter for how people will read it, scanning left to right, and stopping at graphics and headlines, and the P.S.
Now that you’ve gotten all your information package items written and printed, it’s time to put them all together. You can buy covers in your company colors and have your logo and business name printed on them. Put your business card in the front slot and your information in the inside pockets, making sure your brochure is the first item they’ll see. Then send it out, and sit back and wait for responses you’re sure to get!

When Is The Best Time To Incorporate Your Small Business?
If you're a sole proprietor, perhaps you've considered incorporating your small business or self-employment activity.
And so maybe you've been wondering, "When is the best time to incorporate?"
From a legal standpoint, any time is the best time. The sooner you incorporate, the sooner you make the move from the world of unlimited liability to the world of limited liability.
From a tax savings standpoint, any time is the best time. The sooner you incorporate, the sooner you will start putting more money in your own pocket and less in Uncle Sam's.
But from a **tax reporting** standpoint, there is one time of year that stands out as best: January 1st.
Why is that?
Assuming you have a sole proprietorship (or other entity, such as a partnership) that is up and running as of January 1, and assuming you then incorporate that existing entity on any date other than January 1, you face the possibility of filing not one but two business income tax returns for that year.
Here's an example to clarify this important point . . .
Let's say you've been operating your sole proprietorship for a few years, and in early 2006 you decide to incorporate. In January you get around to starting the paperwork, but life gets in the way and you finally get it done in late February. By the time your state processes the Articles of Incorporation, the start date of your new corporation is March 1.
For 2006, you must file a Schedule C for the period of January 1 through February 28, when your business was still a Sole Proprietorship. And you must also file a corporate income tax return for March 1 through December 31.
Maybe that's no big deal. Maybe you enjoy filing one business income tax return so much, filing a second one doesn't bother you. And it may be that the inconvenience of filing two tax returns in 2006 is far outweighed by the legal and tax advantages of incorporating.
Keep in mind, too, that 2006 will be the only year you have to do this "double duty". In 2007 you will only have to file the corporate income tax return.
But if you are thinking about incorporating, the best time to do it, from a tax paperwork standpoint, is as of January 1. Only then do you have a "clean break" from the old sole proprietorship to the new corporation.
This timing issue can also be relevant if you decide to make the switch late in the year. If the effective date of the incorporation is November 15, you will have to file a Schedule C for January 1 through November 14, and a corporate return for November 15 through December 31. In that scenario, you should ask yourself, "Do the benefits of incorporating outweigh the convenience of waiting until January 1?"
So before you decide when to incorporate, take a moment to reflect on the tax reporting consequences of incorporating on January 1 vs. any other date.
Sometimes it may make sense to wait a few weeks (as in the second example), and sometimes it makes sense to "do it now", especially when January 1 is nearby.
Your Home Office - Work Smarter, Not Harder!
Working the cube farm has been a disaster for worker productivity for years and you are finally fed up. Your company has offered you an opportunity to work from home. So finally, the home office is born. The choice of the location of your home office is crucial to your success.
Too close to the activities going on and you get distracted. Too far away, and you become stranded on an island. Another concern is the “7-Eleven” effect, in other words, you are always open for business and in a very short time you find yourself exhausted. But there are ways to manage these issues in order to make your home office experience a success.
Now the home office is more of a focus in the design process, make this space worth living. Make it comfortable, but not too comfortable. Make it warm and inviting, but not a play room for the kids. Make it a place to work, but also a place to live. Confused? Don’t be because this is your space to with as you wish. Just keep in mind your particular situation and plan accordingly.
Maybe converting your attic for use as a home office is a wonderful idea. Maybe working in the corner of a bedroom works. Whatever your space allocation is having a true home office is a great way to keep your overhead low since you are already paying for the space and the real hidden value of a home office is that it doesn't have to look like a corporate office with a huge oak desk and wall-to-wall filing cabinets. And even though your children will disagree, your home office is not somewhere they should be playing. Finding space for a home office is a major concern these days.
Once you have found your space, you should hopefully find that working from a home office is interesting, varied and provides an opportunity to deliver results that will make a real difference to your life. It won’t be difficult to work if you have a well-organized, fully equipped home office and you have organized well and are comfortable.
But the key to a well run home office and a satisfied worker is this: create a work schedule just like you would if you went into the office every day. Don’t wake up tomorrow and ask yourself what you are going to do that day, have a plan. Also set working hours, you go into the office from 8-5 or 9-6 and that’s it, you leave for the day, turn off the light behind you and shut the door just as if your commute were miles away from home instead of inches from the couch.
Another suggestion is turn the audible notification off for new email on your computer. Every ding, or dong, or beep and you will be running for the computer like Pavlov’s dogs. Remember: Work Smarter, not harder!

Don’t think your small business is at risk? Think again. Whether you realize it or not, your business has valuable information and assets that probably are not protected right now. Your business likely has confidential client information, proprietary business knowledge or just internal knowledge that you wouldn’t want to be exposed to criminals or competitors. The loss of this information could have a devastating impact to your business. While business insurance is an important part of your protection, it cannot protect clients from identity theft or your business from unscrupulous employees or competitors.
No matter how big or small, your business needs to have a security and recovery plan in place that determines what risks you have, helps protect against those risks and sets plans in place to handle the most likely types of losses you may experience. Your plan should also look at the both the ‘physical’ and the ‘virtual’ aspects of your business.
Start by considering the types of risks to which your business may be vulnerable. What if your business information was lost or stolen? Do you have customer files or records, tax receipts, bank statements, business plans, customer work products?
Next, consider the physical aspects of your business that may be vulnerable. Do you have unique office equipment, inventory, computers or trade specific tools?
Finally, look at how you do business. Do you rely on technology, the internet or employees with unique skills? Does your business model depend on repeatable processes that are unique to your business?
Now, consider what would happen to your business if these parts of your business were lost, destroyed or stolen. Could you continue operating if you lost your client files? Could you be sued by customers if their personal information was exposed? Could you be the target of negative publicity? Could your competitors benefit if they gained access to the information? What if you lost email access for a day? What if that key employee suddenly left for another job? What if your office space caught fire or was flooded?
Your security and recovery plan should put in place the safeguards and policies and procedures to prevent some of these risks and the potential to negatively impact your business. Physical access to buildings is relatively easy to control although most small business have little more than a lock on the front door. Should you consider locking file drawers? Is inventory controlled? Does every employee have access, even to things that are not part of his or her job? Could a disgruntled or fired employee return to the workspace after hours with an extra key copy?
Your plan should consider how to protect the ‘virtual’ parts of your business also. Do you have backups of any important files? Do you have passwords, account numbers and other ‘keys’ securely guarded? Do your computers have virus and firewall protection and is it up-to-date? Do you have internet and email usage policies in place to protect your employees form harassment charges?
What about remote employees or workers who ‘take work home?’ In today’s highly mobile environment vital business information can now be easily accessed outside of your physical controls? Do your employees know how to safeguard laptops, cell phones, flash drives or even print outs of business information once they leave your workspace? What if a laptop is stolen from a worker’s car or home or hotel room? Do you have a backup of the data that was on the laptop? What if your employees are accessing your information from a coffee shop Wi-Fi? How do you know if your clients and business are protected?
Lastly, your security and recovery plan should consider how you would handle the most likely losses. For instance, if the computer that holds all your sales information crashes, you should probably have a plan to immediately restore that information from a backup. Where is the backup tape or disk kept? Who has access to it and most importantly, who knows how to restore a backup? If you office is flooded, how quickly can you relocate? Can some employees work from home or other remote locations temporarily? If client information is stolen, do you have a way to contact them?
Most small business owners likely have taken first steps like purchasing insurance and putting locks on the front door. Unfortunately, few have taken the time to really understand the potential risks to their business.
Taking the time now to at least put together an informal plan will go a long way in the event of a real disaster or other loss. Even the best planning obviously won’t protect against all disasters but it can certainly lessen the impact to your business once one occurs.

A web site is a crucial ingredient of your marketing strategy because it can widen your target market to include anyone who has access to a computer and the internet. Almost 60% of Canadians had access to the internet at home in 2003, and around 8 million had regular access to the internet from somewhere, either at home, at work or at school.
And that’s just in Canada. Ecommerce sales from Canada were $7.2 billion, and we only captured 4% of the global ecommerce market! So, how can you reach some of those internet surfers, and how can you capture some of that $7.2 billion spent in ecommerce?
First, you build it
The first step is designing your website. If your company already has business cards and letterhead, it’s best to design your website around them. A matching corporate identity and website helps with branding.
I like uncomplicated websites, with a simple layout and easy navigation. A nice, simple layout, with good graphics, balanced look and good color combinations is my #1 goal when designing a small business web site. Remember to use graphics sparingly and to optimize them for your website because internet surfers are impatient. If your page loads too slowly, they’ll leave.
Navigation should be easy to find and to use, and it should be consistent from page to page. I’ve left more than one site frustrated because I couldn’t easily find their navigation.
Small business web sites aren’t static. They evolve. You need to start somewhere, and starting with an introductory web site is probably easiest. All you really need to start is five pages. You can always add pages later. The important thing is to just do it—take the plunge and get it out there.
Your five pages could include an index, or home page, about us, services, contact and a sitemap. The index page is your landing page. Typically its design is a little more detailed than the others, but it doesn’t have to be that way.
I like to use CSS (cascading style sheets) for designing because it’s simply easier to build a web site and to edit its layout with CSS rather than just HTML (hypertext markup language) alone. A change on a CSS sheet changes all the pages on your site at once.
Content is king
Once your site is designed, you’ll want to start thinking about content. Design is very important, but it does little good to have a beautiful site without high-quality content.
Your small business home page introduces you and your company—who you are and what you do. The about us page is usually used to give more detail than the home page about who you are, and your services page gives more detail about what you do. You might wonder why you’d “waste” a page on a sitemap since you only have 5 pages, but sitemaps help search engines find all the pages in your site.
As far as content goes, more is better, up to a point. Your pages should be content rich and informative, but they also need to be relevant to your small business. If your visitor can’t figure out what your web site is about in just a few seconds, they may leave.
The internet was at first strictly informational, and that’s how it remains today. Several times people have tried experiments using copywriting similar to direct mail sales letters, but they’ve all failed. It seems as if people surf the internet more for information than anything else. Knowing this will help you write pages people will want to read.
Attracting visitors
You could follow your instinct and just start writing, but wait. There’s research you must do first, or your web site simply won’t be high enough in searches to be found. Search engine optimization is far too big a subject to cover in this short article, but among other things, search engines find your pages based on keywords.
So, pretend for a moment that you’re on the other side of the desk. If you were a customer of your own business, what words or phrases would you use to search for your product or service? Ask friends and neighbors how they’d search for your product or services.
When you’ve come up with a few, check them out on a keyword suggestions tool. You can also use that tool to suggest similar words and phrases. Then find out how many results there would be if you searched for that term. What you want to do next is narrow down your choices to the words or phrases that are searched for the most, but have the fewest results.
Remember that people generally don’t look beyond the first three pages for any search term, so if you’re not in the top three pages, your business is not likely to be found at all. If there are millions of results for your phrase, you might simply need to make it more specific.
For example, let’s say you have a small business consulting company that specializes in communication for small business. Using “communication” as a search term is nearly pointless because there are almost 2 billion results for that word. But, there are only 974 results for “small business communication”.
Much better, but how often is that searched for? According to WordTracker, it’s searched for 10 times a day. Not bad, but I think we can do better. How about “small business consulting”? That’s searched for 261 times a day, and there are 373,000 results. That could be the best primary phrase for a small business communication consulting company.
What you want to do, is write your content around those words and phrases. You don’t want or need very many—three or four are plenty.
Getting them to come back again and again
Getting visitors to come back to your site again and again is relatively simple. Keep your content fresh and lively, make sure it’s informative, and add to it often.

15 Easy Steps to Starting Your Small Business
Yeah, sure it's easy, and of course, that title is a little tongue in cheek. It takes a lot of hard work to get a business off the ground. But, it's worth every hour I've spent getting to where I am now.
When I decided to start my communication and image consulting business, I tried hard to find a good startup guide. I couldn't find any that had all the steps. So, I decided to write one. So far, it's mostly just the bare-bones outline (which is long enough as it is) you see in this article.

Before you spend so much as a dollar, talk to a few experts. Go to the library or get on the internet and research, research, research. Take a little time to make sure entrepreneurship is right for you.

3. Get your financing in place. There are many ways to finance your business, from your own savings to personal credit cards to bank loans. If you need credit, know your business plan from front to back and maybe even sideways.
4. Decide what kind of structure your company will have. From a legal standpoint, there are three basic choices, sole proprietorship, partnership and incorporation, each with advantages and disadvantages.
5. Choose a name for your company and check on name availability. Naming your company is highly individual, but it’s the first thing associated with your business, so choose your name carefully. You’ll need to do a NUANS (Newly Upgraded Automated Name Search) report, which checks your name choices for uniqueness against a database of other business names. A reserved name is valid for 90 days.
6. Decide whether you want to register federally or provincially and register your company. If you register federally, you’ll also have to register provincially, which almost doubles the cost. You don’t have to have a lawyer process them for you, but it might be a good idea to at least consult with one. You can get the forms from your local government office, have them faxed to you or download them. You can fax or email printed copies, or complete the forms online
7. Contact Canada Revenue Agency Business Window for your business number, and to register for GST/HST, payroll, corporate income tax and import/export (if applicable). You can also contact the CRA if you need general information about business expenses. Chances are you’ll have to collect GST, but you may want to register for a GST number even if you don’t have to collect it because of input tax credits.
8. Decide whether you need to collect PST. If you do, you need to submit “Registration as a Vendor” documents with your province.
9. Determine whether there are special permits or licenses in your municipality. It’s highly unlikely that your municipality does not have special permits or licenses.
10. Develop the marketing materials you decided on in your business plan. They should include at least a company identity package, press kit and website. Your identity package is your logo, business card and letterhead. A press kit can include letters of introduction, biography sheets, press releases, articles and a brochure. In today’s electronic age, printed materials aren’t enough. You need a website that looks professional, matches your printed material and has great copy. You’ll also want to make sure it’s optimized for search engines.
11. Set up your business bank account and record-keeping system. Your banker will need to see your incorporation documents, and you should probably set up more than one account so you can keep track of your finances better. Record-keeping is required, and can be done manually or with a computer program.
12. Purchase insurance. There are many different types of insurance, but most probably your company will need at least one. For example, if you’re going to have employees, you need to contact the Worker’s Compensation Board. Depending on your type of business, you might want to contact them even if you don’t have employees to insure yourself.
13. Contact potential creditors and set up credit terms. You should have researched suppliers when you were doing your feasibility study. Now is the time to contact them.
14. Decide where your business will be located. Lease your business’ space. Alternatively, you could choose to start your business from home if it’s feasible. There are advantages and disadvantages to starting your business from home. You have tax write-offs for example, but sometimes your image suffers.
15. Purchase supplies and office equipment. You’ll need too many things to list here, and of course, each business has different needs. You might need a fax machine and printer. You’ll probably need a computer. You’ll definitely need paper, pens, pencils and a calculator.
